5.1 AI Manager
The "boss" agent. It does not resolve tickets. It trains, edits, audits and explains the AI support agents in plain language, in any language. It builds protocols conversationally, checks each new protocol for conflicts against the whole protocol library, checks which integrations are required, and files engineering cases when something is missing. 5.2 Protocols
Instruction lists for the AI support agents, one per ticket topic, generated by the AI Manager from conversation and published by a human. Each protocol has Active and Automated toggles.
5.3 Per-action approval
Every action (refund, cancel, address change, return creation) has its own approval switch per protocol. The agent can reply automatically while proposing the action for one-click human approval, until the team is ready to automate that action too. Teams start in suggestion mode and automate topic by topic.
5.4 Self-improvement loop
Every week the AI Manager reviews all conversations and hands the team a set of concrete improvement tasks: knowledge gaps, avoidable escalations, and drafts the human team always sent unchanged, which are candidates for automation. The team approves the tasks it agrees with and the AI Manager applies them.
5.5 Feedback loop
Human support agents leave feedback from inside the helpdesk. Each ticket has an insights page with the full run explanation. An admin processes that feedback through the AI Manager into versioned, diffed, published protocol edits.

The reasoning for every answer is shown. Teams can see the decision, spot the issue, and give feedback directly.
6. Actions the agents take
The agents do not only answer. They read from and act in the systems a support case touches, the way a human support agent would from those systems' dashboards. What that looks like per type of system:
- Store platforms (Shopify, WooCommerce, Magento, Lightspeed, etc.): look up the order and the customer, refund in full or in part, cancel, edit order lines, change the delivery address, create a replacement order, invoice a difference.

- Subscription platforms (Firmhouse, Recharge, Skio, etc.): look up the subscription and take the change the customer asks for in the platform itself.
- Carriers and shipping tools (PostNL, Sendcloud, etc.): verify a lost parcel through the carrier's weight check, open a carrier investigation and keep the case reference, arrange the reshipment.
- The helpdesk itself (Gorgias, Zendesk, Trengo, Intercom, etc.): reply in the customer's language, tag, and hand the conversation to a human support agent the moment that is the right outcome.

Every action has its own approval switch (section 5.3), so a team decides, action by action, when the agent may act without a human.
7. Guardrails
A safety layer runs after every draft is written and before anything is sent. It checks for toxicity, prompt injection and unfilled placeholders. It detects a customer asking for a human and routes the conversation to one. It applies rate limits per ticket and per hour, stops the agent the moment a human support agent takes over a ticket, and adds a response delay.
8. Agentic Storefront

The Agentic Storefront is Minimal AI's AI Sales Agent. Most visitors never buy, and the brand never learns why they left. The Storefront does not wait to be clicked. It suggests questions on every page, based on the page and on what the visitor is doing, then moves into discovery, recommends from the live catalog and upsells where it fits, differently for every customer and every visit. 11.1 What a billable ticket is
A full customer conversation, not a single message, that the agent participated in and that you respond to from within your ticketing system. Spam and no-reply tickets are never billed. Tickets the agent has no instructions for are not attempted and not billed.
11.2 Why per billable ticket, not per resolution
Minimal AI charges per billable ticket. The effective cost per fully automated resolution is the ticket price divided by the automation rate, so it falls as the agents improve.
